Who we are

King Taxi & Private Hire is the data controller for the information described in this notice. We handle airport transfer quote requests and bookings for Brockenhurst and New Forest journeys.

Information we collect

When you request a quote we collect the journey details you provide: pickup location, airport, travel date and time, passenger and luggage numbers, return journey details, flight number if supplied, your name, email address, phone number and any notes you add.

We also record a short activity history for each booking — when the request arrived, when a quote was sent, and whether it was accepted — so we can answer questions about a journey later.

If you accept analytics cookies, Google Analytics collects anonymous usage data about how the site is used. This is described in our cookie policy. No analytics cookies are set unless you agree.

Why we use it, and our legal basis

Under UK GDPR we must have a lawful basis for each use of your information:

• Preparing a quote and carrying out the journey — performance of a contract, or steps taken at your request before entering one.
• Contacting you about the booking — the same basis: we cannot deliver the service without it.
• Keeping booking records for accounting and disputes — legal obligation for tax records, and our legitimate interest in being able to resolve a complaint.
• Website analytics — your consent, which you can give or withhold in the cookie banner.

We do not sell your personal information.

Who we share it with

Journey details are shared with the driver allocated to your booking, and with booking staff who need them to provide the service.

We also use service providers who process data on our behalf:

• Vercel — website hosting and delivery.
• Our database provider — storage of booking records.
• Zoho Mail — sending quote and confirmation emails.
• Google Analytics — website usage statistics, only if you accept analytics cookies.
• Cloudflare — bot protection on the quote form, where enabled.

Some of these providers operate outside the UK. Where personal data is transferred abroad it is protected by the safeguards required under UK data protection law, such as the UK International Data Transfer Addendum.

How long we keep it

Booking and quote records are kept for 1 year from the date of the journey, after which they are deleted. Where a record forms part of our accounting history, we keep the financial detail for as long as UK tax law requires.

Quote requests that never became a booking are removed on the same schedule.

Your rights

You have the right to ask us for a copy of the information we hold about you, to have it corrected, to have it deleted where we no longer need it, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on your consent — analytics cookies — you can withdraw it at any time.

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK supervisory authority, at ico.org.uk or on 0303 123 1113.

Changes to this notice

We update this notice when our practices change. The date at the top shows when it was last revised.
